To generate a certification status report
- Login to the Civica Learning Administration portal as a Global administrator, or a Reporter (if your system is configured to allow reporters to report on certifications - see: Explained: Reports).
- On the NAVIGATION pane, click Reports.
- In the SECTIONS section, click Report generator.
- In the REPORT DEFINITION section, in the drop-down list, click Certification status report.
- Optionally, enter a FROM date.
- Optionally, enter a TO date.
INFO: If you do not specify FROM or TO dates, all certifications awarded will be included in the report. If you do specify FROM and TO dates, all certifications awarded between the FROM and TO dates will be included in the report. If you do not specify a FROM date, all certifications awarded up to the TO date will be included. If you do not specify a TO date, all certifications awarded from the FROM date will be included.
- In the CERTIFICATIONS panel, click the ellipsis (...) button.
- In the Certifications dialog box, select the certification items to include in the report, and then click Done.
INFO: In the Certifications dialog box, you can Search for certifications by name, and/or use the Selections menu to quickly: select all items currently listed (Select visible), un-select all items currently listed (Clear visible), or un-select all items currently selected (Clear all) - but perhaps not displayed due to the current Search filter.
- In the USERS panel, click the ellipsis (...) button.
- In the Users dialog box, select the learners to include in the report (specified individually, or by their group or organisational unit membership), and then click Done.
INFO: In the Users dialog box, you can search for learners using any profile field defined. When searching by First name or Surname, you must enter the full profile value, for example, all of the characters in their first name or surname. When searching for groups, partial group names can be used. To search, type the required search string, and then press Enter, or click the search icon.
- In the USER PROFILE DATA panel, click the ellipsis (...) button.
- In the Profile properties dialog box, select the properties that you want to display in the report, and then click Done.
- In the ELIGIBILITY FILTERS drop-down list, select the filter you would like to apply to the report. The following options are available:
- All users. Include all users regardless of eligibility.
- Mandatory users. Only include users in the report who are included in the mandatory cohort.
- Eligible users. Only include users in the report who are included in either the mandatory or eligible cohorts.
- In the VALIDITY FILTERS drop-down list, select the filter you would like to apply to the report and if required, specify the required date. The following options are available:
- None.
- Filter to users whose certification is valid on. Only include users in the report who have a valid certification on the specified date.
- Filter to users whose certification will NOT be valid on. Only include users in the report whose certification is not valid on the specified date.
- Optionally, check the Include users who have never been awarded the certification checkbox, if you wish your report to include selected users, who have never held the certification.
- Optionally, check the Include users whose certification has expired as of when the report is run checkbox, if you wish your report to include selected users who have previously held the certification, but for whom the certification is currently not valid.
INFO: You can send a notification to one or more users when the report completes. The notifications can go to the report owner (you, if you have just created the report) and/or, to users defined on the system (who would normally have a reporter role), and/or to an arbitrary list of users.
- In the REPORT NOTIFICATIONS section, to send a notification on report completion to the report owner, select the Send the report owner an email when the report is complete check box.
- In the REPORT NOTIFICATIONS section, to send a notification on report completion to a defined user on the lms:
- Select the Send other users an email when the report is complete, so they can view the report check box.
- In the USERS panel, click the ellipsis (...) button.
- In the Users dialog box, select the required users, and then click Done.
- In the REPORT NOTIFICATIONS section, to send a notification to one or more arbitrary email addresses:
- Ensure the Send other users an email when the report is complete, so they can view the report check box is selected.
- In the EMAIL ADDRESSES (COMMA DELIMITED) panel, enter the email addresses you would like the report to be emailed to, as a comma separated list.
INFO: When users are specified to receive a notification via an arbitrary email address, they receive an email that contains a time limited link, which they can use to download the report.
- After all configuration is complete, click Run.
INFO: If you wish to save the report as a template, click Save as template. In the Save as template dialog box, define the template Name and a Description, and then click Save.
To view the generated report
- Login to the Civica Learning Administration portal as a Global administrator, or a Reporter (if your system is configured to allow reporters to report on certifications - see: Explained: Reports).
- On the NAVIGATION pane, click Reports.
- In the SECTIONS section, click Active reports.
- On the Active reports page, to view the generated report details, click the report.
- In the Certification status report dialog box, to view the report in your browser, click View, or to save the generated report file locally (as a CSV file), click Download.
INFO: You can also click the View, Download or Delete icons directly on the report item in the list of reports.
